Limelight Video is a service provided by One Solution LLC (“One Solution,” “we,” “us,” or “our”).
This Privacy Policy explains how One Solution collects, uses, processes, shares, retains, and deletes personal information in connection with the Limelight Video service.
Limelight Video helps businesses and professionals collect video testimonials from their customers and clients without requiring testimonial participants to create an account, download an application, or use a CRM.
1. Who This Privacy Policy Applies To
This Privacy Policy applies to three types of users.
Business Clients and Authorized Representatives are businesses, professionals, organizations, and individuals authorized to purchase or submit a Limelight Video testimonial campaign.
Campaign Recipients are individuals whose contact information is supplied by a Business Client for the limited purpose of inviting them to provide a video testimonial.
Testimonial Participants are Campaign Recipients who choose to access the testimonial portal and submit a video testimonial.
When One Solution processes contact information uploaded by a Business Client, that information is generally processed on behalf of that Business Client for the limited purpose of providing the Limelight Video service.
2. Information We Collect From Business Clients
When a Business Client submits a Limelight Video campaign, we may collect:
Legal business name and, when applicable, public-facing business or brand name
Authorized representative's first and last name
Business email address and phone number
Uploaded CSV contact list
Campaign instructions, branding, and configuration
Acceptance of campaign authorizations, Terms & Conditions, and related agreements
Date and time of submission and acceptance
Campaign, order, or account identifiers
IP address, browser, device, and security information where reasonably necessary
Communications with One Solution concerning the campaign
Billing and transaction information when applicable
We use Business Client information to provide Limelight Video, administer campaigns, process orders, authenticate authorization, provide support, maintain security, document agreements, prevent abuse, and comply with applicable legal obligations.
3. Information Business Clients Provide About Their Contacts
Business Clients may upload limited information about customers or clients whom they wish to invite to provide a testimonial.
Depending on the campaign, this may include a recipient's name, email address, and other limited information necessary to identify or personalize the testimonial request.
Business Clients are instructed to provide only information necessary to administer the testimonial campaign.
Business Clients are responsible for determining which individuals are included in their campaign and for having the lawful authority to provide those individuals' information to One Solution for this purpose.
Limelight Video is not intended for purchased, rented, scraped, harvested, or cold-prospect contact lists.
4. How We Use Uploaded Contact Information
One Solution uses contact information uploaded to Limelight Video only as reasonably necessary to administer the testimonial campaign authorized by the Business Client.
This may include importing the campaign list, personalizing and sending testimonial-request emails, sending reasonable follow-up reminders, providing access to the Business Client's branded testimonial portal, recording campaign status, processing unsubscribe requests, associating a submitted testimonial with the appropriate campaign, generating the downloadable campaign-results CSV, preventing prohibited or duplicate outreach, maintaining security, and complying with applicable legal requirements.
We do not use uploaded Limelight Video contact lists to build an unrelated One Solution marketing or sales database.
We do not use uploaded contacts to advertise unrelated One Solution products or services to Campaign Recipients.
5. Information We Collect From Testimonial Participants
When a Campaign Recipient accesses the testimonial portal or submits a testimonial, we may process the person's name or campaign identifier, testimonial video and audio, statements made within the testimonial, consent and testimonial-release acceptance, submission date and time, applicable incentive disclosures, upload status, technical information needed to operate the recording experience, and limited browser, device, IP address, and security information where reasonably necessary.
Participants are not required to create a Limelight Video account solely to submit a standard testimonial.
6. How We Use Testimonial Videos
One Solution processes testimonial recordings only as reasonably necessary to provide Limelight Video.
This includes receiving the recording, associating it with the appropriate Business Client and campaign, temporarily storing and securing it, making it available for delivery to the Business Client, and addressing technical, security, support, or legal issues related to the submission.
One Solution does not obtain the right to use a participant's testimonial in One Solution's own advertising merely because that testimonial was submitted through Limelight Video.
The Business Client's right to use a testimonial is governed by the participant's testimonial consent and release and applicable law.
7. Campaign Results and Client Downloads
At the completion of a campaign, One Solution may provide the Business Client with a downloadable CSV containing campaign results.
Depending on the campaign, the CSV may contain the original submitted contact information, testimonial status, whether a testimonial was received, date received, and a secure link or reference for downloading the completed video.
Once the Business Client downloads a CSV, testimonial video, release record, or other campaign file, that copy is under the Business Client's control.
One Solution cannot automatically delete copies that a Business Client has downloaded, copied, stored, published, or transferred to another system.
The Business Client becomes responsible for the security, retention, use, and deletion of those copies.
8. Data Retention and Automatic Deletion
Limelight Video is designed as a temporary testimonial-collection service and not as a permanent CRM or contact-storage platform.
Completed Testimonial Contacts
When a recipient successfully submits a testimonial, Limelight Video may automatically update the applicable campaign-delivery record and then remove the person's ordinary active outreach/contact record from the active campaign database.
Information necessary to temporarily deliver the testimonial and document the participant's authorization may be retained separately as described below.
Contacts Who Do Not Respond
Unless another campaign period is disclosed, Limelight Video campaigns expire 30 calendar days after the first campaign invitation is sent.
Ordinary active contact records belonging to individuals who do not respond are scheduled for deletion or minimization after the campaign expires.
Unsubscribed Contacts
When a recipient unsubscribes or otherwise makes an applicable request to stop Limelight Video campaign communications, One Solution may remove unnecessary campaign information while retaining a minimal suppression record.
That limited record may include a normalized or pseudonymized identifier associated with the person's email address, the applicable Business Client or account, the communication channel, the opt-out status, and the date of the request.
Suppression information is retained only as reasonably necessary to honor the person's communication preference, prevent prohibited future outreach, document compliance, or satisfy applicable legal obligations.
It is not used as a marketing profile.
Campaign Results CSV
Unless another period is expressly disclosed, One Solution's downloadable copy of the completed campaign-results CSV is scheduled to expire 30 calendar days after campaign completion or delivery.
Business Clients are responsible for downloading any copy they wish to preserve.
Testimonial Videos
Unless another period is expressly disclosed, One Solution's hosted or downloadable copy of a completed testimonial video is scheduled to expire 30 calendar days after campaign completion or delivery.
Business Clients are responsible for downloading and preserving videos they wish to retain.
Consent, Authorization, and Compliance Records
One Solution may retain limited records documenting Business Client authorization, acceptance of applicable Terms, participant testimonial releases, opt-outs, security events, disputes, or other compliance matters for longer periods when reasonably necessary to document permission, enforce agreements, protect legal rights, prevent abuse, resolve disputes, or comply with law.
These records are maintained separately from ordinary active campaign contact records where reasonably practicable.
Backups
Deleted information may temporarily remain in protected backup or disaster-recovery systems until those backups are overwritten or expire under our normal backup lifecycle.
Information retained solely in backup systems is not intended to be restored for ordinary business use except where reasonably necessary for disaster recovery, security, or legal requirements.
9. Unsubscribing From Limelight Video Emails
Campaign emails may include a mechanism allowing recipients to unsubscribe from applicable testimonial-request communications.
When an applicable unsubscribe request is received, One Solution will stop the communications covered by that request and may retain the limited suppression information described above so that the request can continue to be honored.
Limelight Video's suppression controls do not replace a Business Client's own obligation to maintain and honor its applicable opt-out and do-not-contact records.
10. Sale and Marketing Use of Personal Information
One Solution does not sell or rent contact lists uploaded to Limelight Video.
One Solution does not provide Limelight Campaign Recipient information to unrelated third parties so those third parties can independently market to those individuals.
We also do not use Limelight Campaign Recipient information to send unrelated One Solution marketing communications.
11. Service Providers
One Solution may use third-party service providers where reasonably necessary to operate Limelight Video.
These may include providers of cloud infrastructure, database services, email delivery, file or video storage, secure download delivery, security and fraud prevention, authentication, payment processing, customer support, and other infrastructure required to provide the service.
Service providers may process information only as reasonably necessary to provide the applicable service or as otherwise permitted by applicable law and their contractual obligations.
12. Sensitive Information
Limelight Video is not designed to collect unnecessary sensitive personal information.
Business Clients should not include Social Security numbers, passwords, financial account credentials, government identification documents, detailed medical records, biometric identifiers, authentication credentials, or other sensitive information that is unnecessary to request a testimonial.
Testimonial participants should avoid disclosing confidential, medical, financial, or other sensitive information in a video testimonial unless they knowingly intend to provide that information and the Business Client has independently determined that collecting and using it is appropriate and lawful.
Unless One Solution has expressly agreed in writing to support a particular regulated use case, Limelight Video should not be used to transmit information requiring specialized contractual or regulatory handling.
13. Security
One Solution uses commercially reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information processed through Limelight Video.
These safeguards may include access controls, secure transmission, authentication, protected infrastructure, logging, monitoring, restricted access, retention controls, and other reasonable security measures.
No Internet-based system, electronic transmission, or storage platform can be guaranteed to be completely secure.
14. Minors
The standard Limelight Video testimonial workflow is intended for adults.
Business Clients should not knowingly submit individuals under 18 years old, or below the applicable age of legal majority, into the standard Limelight testimonial process unless an appropriate parent or legal guardian authorization process has been established.
15. Legal, Safety, and Security Disclosures
One Solution may preserve or disclose information when reasonably necessary to comply with applicable law or valid legal process, protect the rights or safety of One Solution or others, investigate fraud or security incidents, prevent misuse, enforce applicable agreements, or establish, exercise, or defend legal claims.
Information may also be transferred as part of a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, subject to applicable law and appropriate safeguards.
16. Privacy Rights and Requests
Depending on where an individual lives and which privacy laws apply, that individual may have rights concerning their personal information, including rights to request access, correction, deletion, or information concerning how personal information is processed.
Because One Solution frequently processes Limelight Campaign Recipient information on behalf of a Business Client, the Business Client may be primarily responsible for responding to requests concerning information under that Client's control.
When appropriate, One Solution may refer a request to the applicable Business Client or assist the Business Client in responding.

Please use “Limelight Video Privacy Request” in the subject line and provide enough information for us to identify the relevant campaign or information without providing unnecessary personal information.
We may take reasonable steps to verify a request before acting on it.
Deletion requests may be subject to lawful exceptions, including information reasonably necessary to preserve an opt-out, document consent or authorization, maintain security, prevent fraud, resolve disputes, comply with law, or establish or defend legal claims.
17. Business Client Responsibilities
Business Clients remain responsible for their own privacy and data practices.
This includes having appropriate authority to collect and provide Campaign Recipient information, determining which recipients may appropriately be contacted, maintaining applicable suppression records, providing required privacy notices, safeguarding downloaded CSVs and testimonial videos, responding to privacy requests concerning information independently controlled by the Business Client, and using testimonial content lawfully.
This Limelight Video Privacy Policy does not replace the Business Client's own privacy policy.
18. International Campaigns
Limelight Video is provided by One Solution LLC from the United States.
Business Clients wishing to submit contacts located outside the United States are responsible for determining whether additional privacy, electronic-communications, data-transfer, localization, or consent requirements apply.
One Solution may decline campaigns that require regulatory or contractual arrangements not supported by the standard Limelight Video service.
19. Changes to This Privacy Policy
One Solution may update this Privacy Policy as Limelight Video, our service providers, our data practices, or applicable requirements change.
The Effective Date at the top of this Policy identifies the current version.
Material changes will apply prospectively unless applicable law requires otherwise.
